EU VAT numbers are checked against VIES and UK VAT numbers against HMRC in real time, and the result is stored on the application so you see it before you approve. A paid backup source keeps the check working when VIES or HMRC is down.

US resale certificates read for you

Uploaded resale and tax-exemption certificates are read and checked against the application — company name, tax ID, state and expiry date — with anything that does not line up flagged for your review instead of buried in a PDF.

Exemptions applied on approval, not by guesswork

Approve a certificate that checks out and the buyer is set tax-exempt in Shopify automatically: cross-border reverse charge for the EU and UK, resale exemption for the US. Jurisdictions the app does not support are flagged so you handle them yourself — nothing is ever zero-rated on a guess.

Certificates that renew themselves

Existing customers renew through a secure link, and the app emails a reminder before a certificate expires so exemptions do not lapse unnoticed. Every renewal goes through the same review — you approve each one. If a certificate lapses anyway, its exemption is removed automatically for the states it covered, on every plan.

A dry run shows what will be created and flags the rows that need attention: missing fields, addresses Shopify will reject, duplicate contacts. Nothing is created yet, so fix and re-upload until the list is clean.

Every tax ID checked against the registry, recorded as evidence

Each imported row's tax ID is checked against the official registry for its country — VIES for the EU, HMRC for the UK, the ABR for Australia, the NZBN register for New Zealand, Brønnøysund for Norway — and the result plus its reference is recorded as evidence on the row.

Tax stays collected until a number checks out

If a registry cannot confirm a number, the row imports marked unavailable with tax still collected — never quietly exempted. Registries that were simply unreachable are re-checked in the background, so you do not re-upload for an outage.

A results file you can hand to your accountant

Every finished import downloads as one line per row: outcome, any error, the registry check and the reference behind it. Failed rows come back in their original columns so you fix them in place and re-upload the same file.

A migration never flatters your numbers

Imported companies stay out of your dashboard metrics and weekly digest, so four hundred rows do not fake an approval rate. They stay visible under the Imported filter, badged on every row.

What happens when I uninstall the app?

Your data is retained for 12 months to allow re-installation recovery. After 12 months, all data is permanently deleted. Audit logs are retained for 7 years as required by the Danish Bookkeeping Act. You can request immediate deletion at any time. Learn more

How does certificate review work?

When an applicant uploads a resale or tax-exemption certificate, B2B Onboard reads it and flags anything that doesn't match the application — company name, tax ID, state, or expiry. It's decision-support: the app flags possible discrepancies to assist your review and you make the final decision on every application. Available on the Growth and Pro plans.
